Master the Art of Quoting Freight

Spot Quoting Freight is not an exact science, but it is an everyday task that most freight brokers do to cover their loads. The process can be frustrating at times because of the amount of manual work it takes to get a load covered.

Trinnos Edge Spot Quoting Tools can help during the quoting process to alleviate some of the everyday struggles when it comes to covering a load.

Which carriers should I contact for a quote?

Usually it is helpful to check internal resources to find a carrier before posting the load to a load board. With Trinnos Edge, freight brokers can search their historical shipment data whether it's a current shipment, previous shipment, previous truck quotes, and/or equipment posted to Trinnos Edge.

Another way to narrow down a list carriers is by using Trinnos Edge's filtering options. By creating custom carrier groups, it allows freight brokers to narrow down their search for a carrier based on customizable attributes.

What is the best way to communicate with my carriers?

Probably the most common ways to get a quote on a lane is by calling the carrier or sending out a quick email. With Trinnos Edge you can easily manage both methods by utilizing our bid boards. Freight brokers can easily record all pricing information they receive during a call and refer back to it when needed.

The bid board can also email quote requests to multiple carriers instantly. When carriers receive these emails they can respond with their pricing and notes, which will automatically be posted back to Trinnos Edge's bid board for the dispatcher to review.

What if I need to post to the load boards?

If capacity is tight or if a freight broker runs into a lane they are not familiar with, they usually turn to the load boards. Trinnos Edge allows you to post your shipments to multiple load boards at the same time. Currently Trinnos Edge integrates with Internet Truckstop, GetLoaded, 3sixy Freight Match (DAT), 123 Loadboard, and Post Everywhere.

What do I with all that data after the shipment is covered?

Typically quote responses that are not used to cover a shipment are thrown away at the end of the day. By managing all your responses to spot quotes in Trinnos Edge that information now becomes valuable historical data that is searchable on future loads. This allows you to have a database of carriers that have serviced this lane before and carriers that have previously quoted on that lane.

Trinnos Technology is continuously working to improve and update our system. Below are the latest software updates that were released into the Trinnos Edge application. Feel free to contact our Technical Solutions Team at (877) 207-6379 with any additional questions.

Accounting Integration

We have made further improvements to the accounting integration adding to the work that has been done over the last 4 months. This update includes changes to the database that make the accounting integration more stable and more flexibility. We have also addressed the remaining known issues with the integration.

Some of the noticeable changes are with the performance of the synchronization process especially during the payment processing.

We have also added some new settings that allow for customization of the way accruals and revisions are processed. These updates will allow the accrual and revision dates to be changed to help make the accounting integration more in line with specific accounting methods.

Another important update is the addition of a historical audit trail. We have added functionality to track the date and amount of changes that have been sent to the accounting application. The accounting audit log will help in the event that there are any issues regarding the data that has been sent to the accounting system.

Performance Improvements

We have also been working hard to improve the overall performance of the application. We have done this by optimizing the application and the pages that are generated. This update should improve performance by about 20%. We also optimized the database.

One of the most noticeable improvements is with the performance of the universal search box at the top of the page to the right of the menu. The search box will allow you to search for Customers and Shipments much faster than before. If you have not been using this search box we encourage you to try it again. For tips on using the universal search please refer to our help page.

General Updates

As we do with all of the system updates, we have included many smaller updates that are designed to help improve usability of the application. We have not listed the specific updates, but we have addressed many of the enhancement requests submitted by our users.

Stability and Reliability

In plain English (rather than technical language) Trinnos Technology has a robust, regularly tested procedure in place to provide both continued service and reliable data protection. In order for our Data Center to have a problem we would need a disaster larger than Hurricane Katrina directly at the facility.

The Specifics

Trinnos Technology has redundant servers with automatic failover on the Database, Application Servers, and Support Servers. Our hardware infrastructure has no single point of failure out to the public internet. Our infrastructure includes cutting edge load balancers, firewalls and servers. These tools make sure that our network is constantly running safely and securely.

Our servers are located in a Tier 1 Data Center in Virginia. We also have 24/7 monitoring of key services for each server. This ensures that that we know of any issues as they arise and that the servers are able to automatically disable or restart failing applications.

All our servers run the latest version of the Windows Server and our database resides on the latest version of Microsoft SQL Server. We have built and run our application on .NET 4.0 allowing us to leverage the most cutting edge technologies available.

Backups are done nightly and are sent to offsite encrypted locations. We backup both the database and application files. This ensures we always have data that is no more than 24 hour old. We also save past revisions for no less than two weeks. Most importantly we test our backups every two months. Testing to ensure backups are being done correctly is the most critical aspect of the backup process.

Software Release Part 2 - September 2011

210 EDI Variance (Carrier Payables)
We have expanded the flexibility of the automated EDI acceptance criteria to allow you to change the upper and lower amounts that you have approved. This allows you to independently change the amounts that you short pay and over pay your carriers. It also allows you to automatically accept more EDI data and reduce the number of exceptions.

Rating Integrations
We have added additional rating integrations to third party brokers. Specifically, we can support rating with Echo global logistics and IGL. If you work with these brokers and would like to integrate the rating engine, please let us know and we will help you get the systems connected.

Shipment Reference Numbers
An additional reference number field has been added to the quote pages and shipment profile. The additional field is named "Reference Number" and can be used as a third option when helping to identify a shipment.

Accounting Sync Updates

The accounting synchronization process has been updated to address over 20 different issues that have been causing inconsistencies between Trinnos Edge and your accounting system. These updates have substantially improved the reliability and speed of the accounting synchronization.

Time Zone for Operations

All the operations pages now have a time zone field. This will allow you to sort active shipments in each of the operations sections based on the time zone of the shipper or consignee location.

Tariff Expiration Date

Tariff list now allows you to enter an effective and expiration date. These dates allow you to manage carrier and customer pricing contracts to make sure you can proactively administer pricing contracts. There are also filters and sorting options on the tariff list.

--General Updates--

This update includes over 50 enhancements. Most of the updates are minor changes intended to help streamline processes and optimize the user interface.

Following are a few examples of the recent enhancements:

Additional warnings added to prevent accidentally sending cost sensitive documents to customers.

Added an option on the shipment profile page that will highlight the pickup date when it has passed and make it easier to update.

For carriers that do not have fuel schedules you can update both the cost and the billed on the fuel update page now.

Customer specific comments are listed in the Payer section of the shipment creation screen for quick reference.

Open and Close times in Customer Preferences are now selectable down to 15 minute increments.

Shipments sent to LCR w/ No Class assigned will be alerted in the shipment details section at the top of the page.

The rating engine has been updated to further enhance the lane specific additional charges and the lane specific supplemental charges.

Pallet Size Options

We have added an option to hide the pallet size from the shipping documents. This will give you the ability to show the number of pallets but it will not require you to show the dimensions of the pallets. You will see this option labeled as "- Hidden -" on the order entry page. It is also the default option when selecting palletized.

Duplicate Pro Number Validation

The system has always provided tools to verify that pro numbers being added to the system are not duplicated. With this update we have streamlined many of the common places that pro numbers are entered into the system. Now the system will automatically check for duplicates and notify you while you are working on the shipment.

Missed Opportunity Report

This is a report that shows if your customers are selecting the least cost carrier. Whenever a customer selects a carrier other than the least cost, an entry is made onto the report. This is a great tool to help identify some of the customers and reasons that the least cost carrier is not selected. The report is available on the main page under Manager Tools. Customers also have a similar report that will only show their shipments.

Payable Notes

On the Edit Pricing page there is an option to add payable notes when a shipment is being adjusted. It includes options like W&R and other types of common billing errors. A dollar amount field has been included to allow the amount saved to be tracked as well. In the future we will be expanding this section to allow for detailed reporting regarding the carrier performance.

---Additional Enhancements---

Rating Engine - An updated has been posted to the rating engine that corrects an issue when using additional charges per lane. This update was released a few weeks ago.

Accounting Synchronization - The payment section of the accounting sync has been updated to improve performance. This part of the sync is much more reliable and much faster.

Send Documents - A new option "CC Me" has been added. When emailing documents using this check-mark will add you, the sender, to the CC line of the email. That will allow you to receive the email in your mail box as well.

Email Delivery - Some changes have been made over the last month to improve the quality of the outgoing emails being sent from our server. These changes will help reduce the number of SPAM blockers that block outgoing emails.

Quote Page - We have updated the quote page to load faster. This is especially noticeable when you have a long list of payers attached as third party billing options for a customer.
